Frequently Asked Questions

CHILLING AND COOL BOXES

Our cool boxes are charged at per night and hold 3 crates of beer each.

ICE

We would recommend 20 Kg of ice flakes per cool box for the chilling of bottles. You will also need plenty of ice cubes for putting in your drinks as well. Our cubes are made with highly filtered purified water and are safe for human consumption. We have the Kenya Bureau of standards certification for all of our ice products.

GLASS HIRE

We do standard glass hire at 20 bob per glass, Champagne glasses are charged at 25 bob per glass. Cocktail glasses can also be hired at varying rates depending upon the glass. Please note, when you order your glasses that unless discussed, we will bring glasses for the ‘bar’ side of our service only. If you want water glasses or wine glasses laid at place settings on tables we will need to bring more and you will need to inform us at least two days before the event.

BOTTLE AND GLASS DEPOSITS

If there are breakages, deposits are charged in the following manner:

1 Soda bottle = 10Ksh

1 Beer bottle = 20Ksh

1 Broken glass = 200Ksh

1 Broken cocktail glass = 800 Ksh

1 Large Cool box – 5,520 Ksh

FRESH JUICE AND SMOOTHIES

We now stock a wide range of freshly made juices and ‘Smoothies’ available in 5 litre containers. As they are made to order they are the only product that we do not offer on sale or return, even if the seal is not broken. Please be aware that by their very nature fresh juices are only available if the specific fruit is in season.

COCKTAILS

Our bar staff specialize in making cocktails and we import cocktail equipment and glasses to make sure your cocktails have panache. We charge differently for cocktails to take into account the skills required to make them and the additional equipment required. They will be quoted individually on the invoice if requested. We also charge for a minimum number of each cocktail served in order to cover the costs of the fresh ingredients required. Take a look out our Cocktails Page to some of our most popular.

SALE OR RETURN

As agreed we will offer sale or return on the discussed items for this function, providing seals are not broken and packaging is not damaged. Be aware that packaging and labels can become damaged if they are stored in cool boxes. Our staff will endeavour not to store too many bottles in cool boxes, but occasionally white wine bottles and juice cartons may be left with you because their labels have become water damaged. Please note that cocktails and fresh juices are not provided on sale or return.

DELIVERY CHARGES

Delivery charges vary with the size of the order and hence the vehicles required and the location of the delivery. Please also take into account that the delivery charge also covers the costs of driving to collect deposit cheques, and final payments after the event where necessary.

Serving spirits and wines that we have not provided

In the event that you find one of our quoted products is not competitive please let us know where and when you saw it advertised at a lower price. We guarantee the lowest bar pricing for ‘legitimate’ drinks in Kenya. In the event that you wish us to use our liquor license to serve a product that you have purchased from another source, We reserve the right to refuse to serve them in their entirety or we will charge corkage at the following rates. This is not negotiable.

PARTY ADMINISTRATION

On delivery we require that you have someone to count all the stock on arrival. When you have confirmed the stock has been delivered we ask you to sign one copy of the paperwork to say that the goods have been received. Please check glasses for breakages in transit to your venue at this time. If you have any special instructions, and you have asked for bar staff, please discuss them with the head bar man at that time.At the end of the evening our staff will tidy up their areas. They will line up all bottles for your inspection. Both empty and full. Please count everything on departure and agree quantities with the barman. Please then sign the returns form. This eases the returns process and final billing. If you wish to hold on to any excess stock we will require the deposit for any unused bottles that we leave with you. When you have finished those bottles you can bring them back and we will return your deposit.

BAR STAFF AND EQUIPMENT

Our bar staff are charged by the hour, so the invoice will indicate 12 if we are sending 2 bar staff for 6 hours for example. The hours are calculated from the time that you have requested their arrival until one hour after you close the bar. This hour is for tidying up and after party administration. In the event that your event is being held outside Nairobi we will charge a daily charge to cover food and accommodation for our staff.The bar equipment hire line in the invoice (if included) means that we will bring, bar tables, table cloths, washing up bowls and brushes, ice buckets, cocktail shakers and bottle openers etc. to the party.

BAR MANAGEMENT

The Iceman will automatically send a senior bar manager to every event that we do. With the experience our staff have they will, work hard, remain honest and give you the best possible service. Some events require additional supervision, especially major corporate functions, or multi day / multi venue events. If that is the case, and you wish to have a company director manage the event there will be an additional charge, Kindly call for more detail.

PAYMENT

100% payment is required to have cleared (in the case of cheques) in order to book the function date. Functions are not considered booked until the deposit is paid. Please note that we are very strict on payment terms. If no payment has been made, no goods will be delivered. The final refund amount will be confirmed within 3 working days of the end of the function, once returns are calculated. Prices for services, wines and spirits are not confirmed until the deposit is paid. Occasionally beer and soda prices go up overnight, as a direct result of supplier changes that are always published in the media. Because of the very small margins on these items, if this occurs we will amend our pricing to reflect this even if we have received a deposit payment.

HOSTESSES

For corporate events we have the services of a modelling agency who can supply us with hosts and hostesses, who while not bar trained can offer an elegant touch to serving welcome drinks. They are charged at a flat rate, prices available on request.
